Wedding Décor Setup Instructions For Your Helpers

You know the little gold frames belong on the memory table. Your friend opening the box may not. A few photos and clear instructions can save you from answering decorating questions while you are getting ready.

Make one setup sheet for each area. Include a reference photo, the matching box label, where everything goes, who is handling it, and when it needs to be ready. Add packing instructions for the end of the night while you still remember what belongs to whom.

First, Confirm Who Is Actually Setting Up

Before writing instructions for friends or family, check what your venue and vendors have agreed to handle. Delivering rental items, placing them, styling them, and taking them away are different jobs.

Ask about personal items specifically. A team setting dining tables may not also place your framed photos, assemble favors, or move ceremony décor into the reception.

  • What will the venue, florist, rental team, or coordinator set up?
  • Which personal items need a separate helper?
  • When can those helpers enter the space?
  • Who handles changes if the planned location is unavailable?
  • Who packs and removes the items afterward?

Give each task a named owner who has agreed to do it. “The wedding party” is not specific enough when everyone assumes someone else has the box.

Keep the assignment realistic. A friend placing a guest book is different from someone managing a room installation. Confirm staffing and any specialist work with the appropriate vendor rather than adding it to a helper’s list.

Show The Finished Setup

If you can, arrange your personal décor at home before packing it. Take one photo showing the whole display and a closer photo of any detail that could be confusing.

Use your actual pieces, not only an inspiration image. A photo of your sign, frames, and guest book is much easier to follow than a styled image containing items you never bought.

Explain What The Photo Cannot Show

Note which way the display faces, what space needs to stay clear, and what is arriving separately. If you use a different table at home, say so. Your helper should not have to guess whether the spacing in the photo is exact.

Instead Of “Set Up The Guest Book Table”

“Use the table marked G on the venue floor plan. Face the sign toward guests entering from the lobby. Put the open guest book in the center and the pen cup on the right. Leave the left corner clear for the flowers arriving with the florist.”

Mark The Details You Care About

Tell your helper which choices matter and where they can use their judgment. You might want the framed photo in the center but be happy for them to adjust the spacing around it. That distinction gives them room to solve small problems without checking every placement with you.

Pack By Destination And Label Every Box

For small personal items, packing by area usually makes unpacking easier. Keep the guest-book supplies together, the memory-table pieces together, and the place-card supplies together.

If fragile pieces need separate packaging, cross-reference them on the setup sheet. The aim is to make missing items easy to locate, not to fit everything into one container.

A Box Label That Helps

GUEST BOOK TABLE • BOX 1 OF 2
Destination: Lobby, table G
Contents: Guest book, sign, pen cup, four pens
Setup sheet: G-01
Helper: [Name]
Ready by: [Time]
After the wedding: Repack for [Name]

Label the top and a visible side. Put a printed setup sheet inside, and keep the digital version somewhere your helpers can access before they arrive.

Separate Supplies From Decorations

Put the tools your helpers are permitted to use in a clearly marked kit. Check venue rules before packing adhesives, fasteners, candles, or anything intended to attach to a wall. Do not leave installation methods for a friend to improvise.

Keep original protective packaging for fragile items. An empty box with a label is useful at midnight when nobody remembers which piece came out of it.

Organize Instructions By Area

A long inventory tells people what exists. An area-by-area plan tells them what to do with it. Use the same area names on your boxes, photos, and floor plan.

Details Worth Including
Area Instructions To Add
Welcome Display Exact position, which direction the sign faces, who provides the stand, and the approved indoor alternative if needed.
Guest Book Book placement, pens or other supplies, guest instructions, and any space reserved for vendor-provided items.
Cards And Gifts Location and the person responsible for securing and collecting cards and gifts. Share sensitive access details privately.
Memory Table Photo order, frame placement, wording, and who takes the personal items home.
Escort Cards Or Seating Display Final arrangement, matching floor-plan version, and who receives last-minute corrections.
Dining Tables Table numbers, personal details, and which pieces are placed by the venue, florist, or catering team.
Favors Whether they go at place settings or on a display, the quantity per location, and where extras belong.

Keep names and table assignments tied to the final guest information. If the seating plan changes, update the relevant setup sheet rather than leaving a helper to reconcile two versions.

Write Down Any Moves Between Spaces

If you plan to reuse something from the ceremony at the reception, give that move its own instruction. Include who moves it, when the area becomes available, and exactly where it goes next.

Confirm the plan with the vendor responsible for the piece. Some arrangements or installations require their team to move them. Do not assume a friend can pick something up because it looks portable.

Plan around people’s other commitments. A helper who is needed for family portraits may not be available to move décor immediately after the ceremony. Check the timing against your wedding-day timeline and cue instructions so the handoffs do not conflict.

A Setup Sheet You Can Copy

Make one copy for each area. Keep instructions short enough that someone can read them while standing beside the boxes. Add your photo and floor-plan reference to the same document.

Give Packing Up The Same Attention

At the end of the reception, it is harder to remember which vases are rented and who promised to take the signs home. Sort that out before the wedding.

Identify what goes back to a vendor, what you want to keep, and what someone has agreed to collect. Ask providers how their items should be left for pickup. Do not have helpers dismantle or repack rented pieces without those instructions.

  • Assign a person and vehicle for belongings going home.
  • Check that the vehicle can hold the packed items.
  • Confirm when packing may begin and when the space must be clear.
  • Keep personal keepsakes separate from anything approved for disposal or donation.
  • Arrange a specific handoff for cards, gifts, and valuables.

Avoid an instruction like “take whatever is left.” It makes your helpers responsible for decisions you may care about once the wedding is over.

Test The Instructions Before The Wedding

Ask someone who has not been involved in your décor decisions to look at one box and its setup sheet. Can they tell where it goes, what the finished display should look like, and whom to ask if something is missing?

  • Every area has a named helper who has agreed to the task.
  • Box labels match the setup sheets and reference photos.
  • Quantities are checked before the boxes are closed.
  • Venue rules and vendor responsibilities are reflected in the instructions.
  • Setup timing works with access, deliveries, and photographs.
  • Any move between spaces has a person and a cue.
  • Packing, pickup, and take-home responsibilities are assigned.
  • Helpers have the current version and know whom to contact.

Add this review to your final month of wedding planning . If a location or item changes afterward, send the updated sheet and point out the change. You do not need to make everyone read the whole plan again.

Wedding Setup Questions, Answered

Does The Venue Set Up Our Personal Décor?

Ask your venue which personal items they handle and whether that work is included. Be specific about signs, favors, photographs, guest books, and place cards. Do not assume a general setup service includes them.

What If We Cannot Do A Full Mock Setup At Home?

Photograph the items together and make a simple labeled sketch showing their arrangement. Add measurements only where they matter, and explain anything that depends on the actual venue furniture.

Should We Give Helpers Our Inspiration Board?

It can show the overall style, but it should not be their only instruction. Give them the final choices, actual items, and approved layout so they are not trying to recreate details you decided against.

What Happens If The Layout Has To Change?

Name the person who can approve the change and identify your priorities. For example, the welcome sign needs to be visible from the entrance, while the exact side of the doorway may be flexible. Follow the venue’s guidance on access and safe placement.
