Wedding Cake Inquiry Email: What To Ask A Bakery

You have a few cake photos saved and a bakery you would love to work with. Now you need to ask whether they are available and what your cake might cost. You do not need to have every flavor, flower, or frosting detail decided before sending that first email.

A useful wedding cake inquiry includes your date, venue, estimated servings, budget, and a little design direction. Ask about availability and the next step first. The bakery can then tell you what it needs to put together a meaningful estimate.

What To Include In Your Wedding Cake Inquiry

Check the bakery’s wedding page before writing. If it has an inquiry form, use that instead of sending the same request through email, Instagram, and the form. The wording below works in a form’s message field, too.

  • Your wedding date and venue. Include the city. If the venue is not booked yet, say so.
  • Your estimated guest count and servings. Mention whether the cake will serve everyone or whether you are also offering other desserts. Ask the bakery to recommend quantities if you are unsure.
  • What you want to order. A tiered wedding cake, a small cutting cake with additional servings, or a dessert table are different requests.
  • A few design references. Explain what you like about each photo, such as the piping, colors, or shape. Inspiration is more useful than asking for an exact copy of someone else’s work.
  • Your budget. State whether it needs to cover delivery and setup as well as the cake. If you do not have a budget yet, ask about minimum orders and starting prices.
  • Dietary needs or allergies. Identify these early so the bakery can explain what it can accommodate and how it handles preparation.

Flavor ideas are welcome, but “we would like to discuss flavors at a tasting” is a perfectly useful answer at this stage.

Wedding Cake Inquiry Email Template

Replace the brackets, remove anything that does not apply, and add one genuine reason you chose this bakery.

Still working out your budget? Replace the budget sentence with: “We are still working out our cake budget. Could you share your minimum order and a starting price for this serving count and style?”

Bakery Inquiry Template For A Dessert Table

A dessert table needs a little different information. Tell the bakery what else guests will be eating, whether you want a cutting cake, and who you expect to arrange the display.

What To Ask Before Booking Your Wedding Bakery

You do not need to put every question into your first email. Once the bakery confirms availability, use these to fill in the details that its proposal or consultation has not covered.

Servings And Pricing

Ask what serving size the estimate assumes, which design details cost extra, and whether delivery, setup, taxes, stands, and other rentals are included. For a cutting cake with additional cake served from the kitchen, ask the bakery how that option would be priced.

Tastings And Design

Find out whether tastings have a fee, what they include, and whether any fee is credited toward an order. Ask when flavors, design details, and the final serving count need to be confirmed.

Delivery And Venue Coordination

Confirm who delivers the cake, who receives it, and when it should arrive. Ask about storage and display requirements, especially for an outdoor reception. Check with your venue or caterer about cutting, serving, plates, utensils, and any cake-cutting fee.

Flowers, Toppers, And Stands

Agree on who supplies and places each decoration. If you want fresh flowers, have the baker and florist coordinate suitable materials and placement. For a rented stand, confirm the deposit, return deadline, and person responsible for returning it.

Dietary Needs And Allergies

Ask about ingredients, shared equipment, and preparation practices. Do not assume a dietary label means the bakery can accommodate a particular allergy. Let the affected guest review the bakery’s information before deciding whether an option meets their needs.

Booking And Changes

Ask what reserves your date, when payments are due, and how changes or cancellations are handled. Once you book, add those dates to your wedding vendor payment schedule so the final cake payment does not get lost among the other balances.

A Simple Follow-Up Email

Follow the response timeframe listed on the bakery’s website or automatic reply. If none is given, about a week is a reasonable point to send one polite follow-up. Reply in the original email thread so your details stay together.

If your wedding is coming up soon, include the actual date you need an answer by. Availability is not a reservation, so keep exploring options until you have completed the bakery’s booking process.

Wedding Cake Inquiry Questions

Can We Inquire Before Our Guest Count Is Final?

Yes. Give your current estimate, explain that it may change, and ask when the bakery needs the final serving count. Make sure you understand how a change in quantity would affect the order and price.

Should We Ask Several Bakeries For Quotes?

You can contact a shortlist of bakeries whose work you genuinely like. Give each the same basic date, venue, serving count, and design brief so the replies are useful to compare. Send individual messages rather than one group email.

What If We Only Want A Small Wedding Cake?

Say that directly. Explain whether it is just for cutting or also for serving guests, and mention any other desserts. Ask about minimum orders rather than assuming a smaller cake will fit every bakery’s wedding service.

Should We Use Email Or The Bakery’s Contact Form?

Use the method the bakery requests. If it has a wedding inquiry form, complete the required fields and adapt the template for the message box. Save a copy of what you submitted and any confirmation you receive.

Keep The Replies With Your Wedding Plans

Save each bakery’s proposal, your tasting notes, and any unanswered questions together. Once you choose one, keep the confirmed order and payment dates somewhere both you and your partner can find them.
