Questions to Ask a Wedding Venue Before You Sign
Before you book the venue
A wedding venue can look perfect during a tour and still come with unexpected costs, restrictions or logistical problems. The right questions will help you understand what you are actually booking before you sign the contract.
Use this wedding venue checklist to compare spaces consistently and avoid making a decision based on appearance alone.
Ask what the quoted price includes and what you will need to rent, purchase or staff separately. A lower venue fee does not always mean a lower total wedding cost.
Evaluate the whole venue
Look beyond the beautiful space.
Fees, rentals, staffing, taxes and required services
Capacity, accessibility, parking and comfort
Setup, vendors, timing, deliveries and cleanup
Cancellation, rescheduling and payment terms

What Is Included in the Venue Fee?
Ask for a detailed list of everything included in the quoted price. Venues package their services differently, so comparing only the rental fee can be misleading.
Ask whether the price includes:
- Tables and chairs
- Linens, tableware and glassware
- Setup and cleanup labor
- Security or parking attendants
- Venue management or coordination
- Sound equipment and microphones
- Bridal suite or getting-ready rooms
- Taxes and service charges
Check the real capacity
How Many Guests Can the Venue Comfortably Hold?
Maximum capacity does not always mean comfortable capacity. Ask how the space functions with your estimated guest count, including tables, chairs, dance floor, entertainment and service areas.
- What is the seated dinner capacity?
- Does the stated capacity include a dance floor?
- Will any tables need to be removed after dinner?
- Is there enough room for a band, DJ or photo booth?
- Can you see floor plans from previous weddings?
Share an honest guest estimate during the tour. A venue that only works if your guest list becomes smaller may create unnecessary pressure later.
Protect the timeline
How Many Hours Does the Rental Include?
The rental period may include more than the ceremony and reception. Your vendors need time for deliveries, setup, sound checks and cleanup.
- What time can the couple and wedding party arrive?
- When can vendors begin setup?
- What time must the event end?
- When must vendors and personal items leave the property?
- What are the overtime fees?
- Can you add more hours before or after the event?
Know your vendor options
Are We Required to Use Specific Vendors?
Some venues allow any insured professional, while others require vendors from an approved list. Certain venues also require you to use their catering, beverage service or rental company.
- Is there a required or preferred vendor list?
- Can we hire vendors who are not on the list?
- Are outside vendor fees charged?
- What insurance must each vendor provide?
- Are vendor walkthroughs or meetings required?
- Who communicates venue rules to the vendors?
Review the required vendors before signing. Their pricing and availability may significantly affect the total wedding budget.
Food and beverage rules
What Are the Catering and Bar Requirements?
Food and beverage costs can represent a large part of the wedding budget. Understand whether the venue provides these services or requires an outside caterer.
- Is catering provided in-house?
- Is there a food and beverage minimum?
- Are tastings included?
- Can the caterer accommodate allergies and dietary restrictions?
- Can we bring our own cake or desserts?
- Is alcohol provided by the venue?
- Are we allowed to supply our own alcohol?
- Are bartenders, glassware and bar setup included?
- What service charges or corkage fees apply?
Prepare for the unexpected
What Is the Weather Backup Plan?
If any part of the wedding is planned outdoors, ask to see the actual backup space. “We can move it inside” is not enough information.
- Where will the ceremony move if it rains?
- How many guests can the backup space hold?
- When is the weather decision made?
- Who has the final authority to move the event indoors?
- Will the venue staff handle the transition?
- Are tents allowed, available or required?
- Are heaters, fans or covered walkways available?
Plan the arrival
What Are the Parking and Transportation Options?
- Is parking available on-site?
- Is parking free or paid?
- Is valet service required?
- Where can buses and shuttles load and unload?
- Can vehicles remain overnight?
- Are taxis and rideshares easy to access?
- Are nearby hotels available for a shuttle route?
Consider the experience after the reception as well as the arrival. Guests should have a safe, clear way to return to their hotel or home.
Welcome every guest
Is the Venue Accessible?
Accessibility affects more than wheelchair access. Consider the full route from arrival through the ceremony, reception and restrooms.
- Are entrances and event spaces step-free?
- Are accessible restrooms available?
- Is there accessible parking close to the entrance?
- Are elevators available and reliable?
- Are ceremony and reception areas connected by an accessible route?
- Can guests with limited mobility be dropped off near the entrance?
- Are accommodations available for hearing or visual needs?
Understand what is allowed
What Are the Decor and Entertainment Restrictions?
- Can items be attached to walls or ceilings?
- Are candles or open flames allowed?
- Are confetti, flower petals or sparklers permitted?
- Are there noise limits or music cutoff times?
- Are fog machines, cold sparks or specialty effects allowed?
- Can decor be delivered before the wedding day?
- Who is responsible for removing decor afterward?
Share any unusual entertainment or decor ideas before signing. Do not assume an idea is allowed because you saw it at another venue.

What Does the Venue Coordinator Manage?
A venue coordinator generally focuses on the venue and its services. Their responsibilities may not include managing the entire wedding, outside vendors or the wedding party.
- Will the same coordinator work with us throughout the process?
- Will they attend the ceremony rehearsal?
- Will they create the complete wedding-day timeline?
- Will they contact outside vendors before the wedding?
- Will they manage the ceremony processional?
- Who handles problems unrelated to the venue?
- Do you recommend hiring a separate wedding coordinator?

What Are the Payment and Cancellation Terms?
- How much is required to reserve the date?
- Is the initial payment refundable?
- When are additional payments due?
- What happens if we need to cancel?
- Can the wedding be rescheduled?
- What happens if the venue cannot host the event?
- Are any fees transferable to a new date?
- Is event insurance required?
- When is the security deposit returned?
Read the contract yourself even if someone else is contributing financially. Keep a copy of the signed agreement and every payment receipt.

Wedding Venue FAQs
When should you book a wedding venue?
Many couples book 12 to 18 months before the wedding, especially for a popular season or date. Shorter timelines can work when you are flexible about availability.
How many wedding venues should you tour?
There is no required number, but a shortlist of three to five qualified options is usually more useful than touring every available space.
Should you negotiate a wedding venue contract?
You can ask questions and request clarification or changes. Some terms may be fixed, while others may depend on the date, package or venue policies.
What should you bring to a wedding venue tour?
Bring your estimated guest count, budget range, possible dates and a list of questions. Take notes and photos so you can compare venues afterward.
